Project Views

Create and manage your projects using a variety of views designed to display critical project information in a way that is easy to understand.

Project Organization

Use the Project Inspector to set default project settings; then create and organize the many tasks within your project using three task types: tasks, subprojects, and milestones.

Project Inspector–Use the Project Inspector to define and control project-specific settings to customize your project work environment in any one of six separate categories:

  • Info – Project Name; Customer; Project Manager; Company; Approval Status; Planned Start; Goals & Objectives; Performance Criteria; Driving Constraint; Weak Constraint; Budget; Timeframe
  • Settings – default start for new unlinked tasks; default task duration units (hours, days, weeks, months, quarters, or years); default work units (hours, days, weeks, months, quarters, or years); default task constraint (in hours); default Task Constraint (Start as Soon as Possible, Start as Late as Possible, Must Start On, Start No Earlier Than, Start No Later Than, Must Finish On, Finish No Earlier Than, Finish No Later Than); defaults for WebApp submissions
  • Calendar – define calendar to use; set default work dates & times; set holidays and non-work days- set exceptions to calendar
  • Resources – define project members and project groups
  • Security – define WebApp security settings including: a resource’s password and setting a master password for all resources
  • Tasks–Utilize a number of tools designed to create, customize, link, and edit your project tasks quickly and easily
    • Task Inspector – task information command center allowing you to view and enter task information from practically anywhere within Project X
      • Dates – planned start & finish dates; time constraint
      • Resources – add resources to a specific task
      • Specs – free text field for notes related to the tasks
      • Document – attach documents relative to a task
      • Links – link tasks to predecessor and/or successor tasks
      • Costs – assign costs per resource, estimated dates and estimated expenses
      • Income – add income items, estimated dates and estimated amounts
      • Notes – add notes relevant to a task organized by date

  • Subprojects–Create subprojects composed of multiple tasks, subprojects, and/or milestones to group similar tasks within your project for easier management and tracking.
    • Expand and collapse for easier viewing
  • Milestones–Set milestone to indicate the completion of a major deliverable or a set of related deliverables.

Customize your workflow with convenient project templates.

  • Create and save templates for future use
  • Set default template preferences
  • Choose from existing templates for quick startup
    • Options include: Home, Education, Marketing, Construction, Engineering, Architecture, Software, Law, Government, and more.

Tracking Information

Track your project progress by adding a baseline and updating project with actual information

  • Baseline - a saved version of your project plan used to measure progress and report performance
  • Track Progress view
    • Enter actual hours worked by your resources if the WebApp is not being used
    • View differences between planned and actual hours on a day-today basis.

The Web App

Let others do the data entry for you with this browser-based utility that gives your resources the ability to submit information about the progress of their assigned tasks.

  • Project Publishing Options – share your project with assigned resources through personal web sharing so that they can view relevant project information and submit project updates. Publishing options include:
    • Publish project to local Web Server
    • After publishing, Email project URL to resources
    • Send all project tasks to iCal
    • Email project to-do lists to assigned resources
  • WebApp Features – resources can update project information (including hours, expenses, percentage complete, notes, and documents in just a few minutes).
    • Process: Connect through URL; choose a project; view tasks; enter updates; review & submit

Syncing

Conflict Management

  • Red warning triangles provide visual cues as to existing conflicts
